The is an international research university with a distinctly multilingual and interdisciplinary character.Your roleThe main mission of the University’s Office of doctoral studies / bureau des études doctorales (BED) is to facilitate and manage - as a central service point – all administrative steps from enrollment to defence of a doctoral candidate at the University of Luxembourg. The office acts as the intermediary between the thesis supervisor, the doctoral student, the rectorate and further external and internal stakeholders.The student officer will provide operational and administrative support to the Vice Rector for Research:
  • Support and manage all main missions of the BED:
  • Provide information and advice to doctoral candidates prior to admission
  • Coordinate and manage necessary steps and processes in the lifecycle of a doctoral candidate: admission and enrolment process; doctoral studies progress management; graduation and diplomas
  • Monitor and validate the administrative completion of the doctoral studies and support the organisation in the graduation ceremony. This includes the management of a complex database
  • Identify and suggest solutions for and handling of non-standard situations during the doctoral candidate’s study period
  • Support the organisation of the degree ceremony and other events for doctoral candidates
  • Contribute to management of joint supervision agreements (Cotutelles): set-up and follow-up of complex agreements with partner universities, taking into account different legal and academic frameworks. This includes efficient and accurate handling of the internal contract management system to comply with University legal procedures
  • Interact and communicate with internal (Human Resources, Doctoral Schools in the Faculties, Rectorate, thesis supervisors) and external stakeholders (Luxembourg Research Institutes, Ministry) as well as partners (industry, academia)
  • Maintain records, statistics and prepare reports
  • Other mission according to new tasks in the team
Your profile
  • Bachelor’s degree or equivalent by work experience
  • 2-4 years’ experience in a similar position, preferably in a research or academic environment
  • Fluency in English and French. Good knowledge of German would be a strong advantage; Luxembourgish would be an additional asset.
  • Excellent communication and organisational skills with attention to detail and accuracy
  • Proficiency with modern office software and content management systems
