MIBL provides a wide range of financial services to institutional investors including depositary, custody, fund administration and other banking-related services.MIBL now has an opening in its Corporate Planning & General Administration Department for a:Office & Administration Operations Officer (CDI)(Ref: CPGA032026)Role responsibilities:Facility Management:
  • Assist in relationships with external service providers (facility management, cleaning, office suppliers).
  • Back up for access control, visitor management, and physical security standards are maintained.
Office Operations & Governance:
  • Assist with the daily operational management of the office
  • Support office processes align with regulatory expectations and internal governance standards
  • Maintain documented procedures for administrative and office-related processes
  • Support audit readiness (internal audit, external audit, regulatory inspections)
  • Maintain proper documentation, archiving, and record-retention standards
  • Contribute to business continuity planning (BCP) and office contingency arrangements.
Administrative & Management Support:
  • Provide structured support to the team
  • Assist in maintaining corporate documentation and administrative registers
  • Ensure confidentiality and secure handling of sensitive information
  • Support regulatory filings logistics where applicable
  • Support implementation & review of internal procedures
  • Organize internal meetings, training sessions.
Profile & Qualifications:
  • Minimum 5 years of experience in administrative operations within a regulated financial service environment in Luxembourg
  • Experience in maintaining documented procedures
  • Excellent organizational and documentation skills
  • High level of discretion and professional integrity
  • Organised and team-oriented mindset
  • Strong MS Office skills
  • Fluency in English and French (German & Luxembourgish considered an asset)
