As a receptionist within an international law firm, your role will be versatile and demanding, reflecting the dynamic and multicultural nature of our work environment:Providing a warm and professional welcome to clients, partners, and visitors in the four required languages: French, English, German, and Luxembourgish.Providing catering service (drinks) and assistance with TechnologyHandling incoming phone calls in various languages, ensuring efficient transfer to the appropriate contacts.Managing and sorting incoming emails and postal mail, ensuring timely and efficient processing.Coordinating appointments and meetings for lawyers and clients, considering international time zones when necessary.Setting up meeting rooms and assisting with meeting room and audio-visual equipment set ups.Dealing with queries and requests from internal and external clients, visitors, and suppliers at all levels.Managing the logistics of international travel for lawyers and clients, including booking flights, hotels, and transportation.Maintaining order and cleanliness in the reception area and common spaces, ensuring a professional and welcoming image for the firm.Assisting lawyers and staff members with various administrative tasks, such as document preparation and office supplies management.Maintaining ongoing awareness of all on-site events, ensuring a personalized and optimized visitor experience.Demonstrating discretion and professionalism in handling confidential and sensitive information.Key requirementsYou have a successful experience in hospitality roles within a high-end international environment (prestigious service company, luxury hotels, banking, etc.) in both reception and catering services;You are fluent in speaking and writing French, English, German, and Luxembourgish.You are proficient in Outlook, Word, Excel, and a meeting room management software.Proficiency with IT materiel is an asset. * Proficiency in Condeco and Webex software is an asset.Who we are looking forYou demonstrate discretion, autonomy, and organization;You have the ability to prioritize requests and ensure excellent service;You have excellent interpersonal skillsYou enjoy working in a team, and you can be relied uponYou can handle pressure and prioritize effectivelyWhat we offer
