- Develop concepts and delivery plans for university-wide flagship public events and VIP occasions
- Provide advisory support to Faculties and Interdisciplinary Centres for large-scale or VIP events
- Create and maintain detailed event project plans with timelines, deliverables, task lists, and responsibility allocation for all stakeholders
- Lead project management for events, acting as the main liaison between University clients and external vendors, ensuring objectives, timelines, and budgets are met
- Manage event budgets, review and select suppliers, ensuring quality and value for the University
- Oversee event setup, production, and breakdown to deliver a high-quality experience consistent with University brand values
- Compile post-event reports to assess success, measure outcomes against objectives, and recommend improvements for future events and investment efficiency
- Significant experience in managing large-scale, high-profile events within an institutional, corporate, or public sector setting
- Proven expertise in event concept development, project management, and budget oversight
- Strong advisory skills, capable of guiding internal stakeholders and external partners in event planning and execution
- Demonstrated ability to coordinate multidisciplinary teams and manage complex event logistics
- Proven experience in managing collaborative relationships with internal teams and external suppliers to ensure optimal terms and value for the university
- Analytical skills for post-event evaluation, reporting, and continuous improvement
- Proficiency with event management software/tools and budget tracking
- Ability to work flexibly, occasionally outside normal working hours, to oversee event delivery
- Professional proficiency in English and French is required; good knowledge of German and/or Luxembourgish would be a strong asset
