Position SummaryFund or Department DescriptionThis position is part of the Luxembourg office. The person will be responsible for the co-ordination, implementation of efficient working procedures and ensuring their rolling out for 300+ fund entities (SCSps) and their GPs, in the area of Buyout and Technology, Real Estate, Energy, Infrastructure and Renewable, and Global Credit. This position will report to the Co-Head of Platform Investing and Head of Private Equity in Luxembourg and will also collaborate with the Fund Management Team, the AIFM and Tax Teams, and the External Service Providers (Domiciliation Agent, Tax and Law Firms).Position SummaryMain point of contact for our Fund Management team, for all day-to-day matters relating to Luxembourg fund entities and their GPs. Ensuring smooth communication with the fund entities' domiciliary agent, corporate secretaries, legal and tax providers and setting up and writing the appropriate working procedures while ensuring their implementation. Setting up appropriate training for the fund management team, where necessary, coordinating the day-to-day administration of the Luxembourg fund entities and their GPs in compliance with legal requirements.ResponsibilitiesPrimary ResponsibilitiesSupport on Finance / Accounting (25%)
  • Annual accounts:
ensuring coordination between the domiciliation agent and the Platform Finance team, being responsible for the review process of accounts prepared in accordance with Lux GAAP. * Coordination with the Fund Management team, the Luxembourg Business Segment co-leads and the domiciliation agent to ensure proper information and supporting documentation flow.
  • Ensure timely filing and approval in coordination with the domiciliation agent.
  • Invoices payment:
  • Set-up of an efficient invoicing and invoices payment process for legal, domiciliation, and tax services; liaising with the Fund Management team, and service providers thereto.
  • Support Fund Management in reviewing proposed service provider offerings for the GPs and SCSps.
  • Co-ordinate with the payments team to ensure timely payment of all SCSp related invoices and GP related invoices including ensuring invoices are in line with pre-agreed budgets.
  • Lead remuneration fee recharge process and ensure GPs have sufficient funding to manage their cash needs for the year.
  • Bank accounts:
  • Coordinate with the Luxembourg Treasury and Business Segment teams on the opening of GP and SCSp bank accounts and the provision of required information to the bank.
  • Ensure timely setup of new accounts in Entity Lifecycle Manager (ELM) and online banking tools, and grant appropriate access to domiciliation agent and Fund Management team.
  • Coordinate the receipt of cash for GPs and oversee ongoing bank account management in collaboration with the Treasury team.
Support on tax aspects (25%)
  • VAT:
  • Oversee and coordinate with the Tax lead and the Tax service providers to ensure accurate preparation and timely filing of VAT returns & manage communications from the vat administration for both, SCSps and GP entities.
  • Liaise with the Tax lead and Tax advisor regarding VAT registration and filings, ensuring timely submission and resolution of queries of the Luxembourg Fund entities, i.e. Lux SCSp-AIF and GP entities.
  • Coordination with the ELM Team, (CFGI), Global Credit FA and the Tax service provider on KYC/AML information needed to proceed with the VAT registration.
  • Ensure VAT return filing and payment is performed in a timely manner.
  • Corporate Tax:
  • Coordinate with the Partnership Accounting Team, domiciliation agent, segment Tax leads, third party fund admins, and tax services providers, to ensure all information and documentation required for GP and SCSP tax filings are shared timely.
  • Oversee the preparation and review of corporate tax returns (Form 200 for SCSps, Form 500 for GPs), ensuring accurate completion, timely filing and tax payment in collaboration with Tax leads and service providers.
  • Manage communications from the tax administration and ensure timely payment of taxes.
  • Ensure functional currency requests are filed within the deadline.
Support on Legal & Compliance (25%)
  • Ensure all SCSps and GP entities are covered by a corporate services agreement, management & indemnity agreement, review of such agreements and liaising with Fund Management Team, and domiciliation agent thereto.
  • Oversight and coordination with the domiciliation agent, Luxembourg legal team and Fund Management Team for the update by the domiciliation agent of the shareholder registers of the Fund entities, on a quarterly basis, and coordination with the Carlyle Luxembourg office Executive Assistants for the signature of such registers.
  • Support the domiciliation agent to ensure KYC/AML supporting documentation and information on investments is provided in a timely manner.
  • Ensure compliance with Country-by-Country Reporting (CbCR) requirements by maintaining an up-to-date Luxembourg population of entities, liaising with the service provider, and reviewing and ensuring timely submission of CbCR notifications.
  • Support the domiciliation agent in the organization of the board meetings including liaising with non-Lux based Managers, Fund Management Teams, and external counsel.
  • Oversight of regulatory changes with the AIFMs including ensuring depositary agreements are signed on a timely basis and KYC checks are conducted within expected timeframes
  • Reviewing and providing feedback to the service provider regarding the database of entities and ensuring that the sharepoint is populated on a timely basis
  • Act as a Manager on the GP Boards and ensure meeting documentation and decisions are properly maintained and executed.
Other (25%):
  • Drafting, reviewing and enhancing the SCSp/GP manual of procedures to ensure alignment with internal processes and ensure its approval for compliance with Luxembourg regulation.
  • Ensuring compliance with group policies and providing technical support to Fund Management Team where necessary.
  • Hold regular meetings with Fund Management Teams, domiciliation agent, Luxembourg Carlyle Team and Tax providers, where necessary, to ensure clear communication and processes are in line with changing regulatory environment.
  • Attendance to bi-monthly follow-up calls with the domiciliation agent.
  • Actively contribute to process improvement initiatives and maintain effective communication between the US, Luxembourg, and service provider teams.
QualificationsRequirementsEducation & Certificates
  • Degree in Accounting, Finance or related field with experience in tax and corporate governance aspects are considered an asset.
  • Solid understanding of financial statements and fund accounting principles is preferred.
Professional Experience
  • Minimum 5-7 years of experience in the private equity, real estate, or credit industry, ideally in a legal, finance, or coordination-focused role.
  • Strong knowledge of Luxembourg corporate, regulatory, and fund laws, and their application to GP/SCSp structures.
  • Proven experience managing or coordinating cross-functional workstreams with service providers, including accountants, tax advisors, domiciliation agents, and legal counsel.
  • Ability to interpret financial information and ensure process accuracy.
  • Fluency in English required ; French and German is an advantage.
  • Previous experience in a comparable coordination role or as a legal/finance manager within a fund management or fiduciary environment is strongly preferred.
