Position SummaryThe principal responsibility of this position is to provide administrative support to the Luxembourg Corporate Private EquityGlobal Credit team members, .which consists of approximately 10 investment and operations professionals based in Luxembourg and working closely with colleagues across Europe and the United States. The team manages and oversees a portfolio of Luxembourg-based investment vehicles and related corporate structures as part of Carlyle's broader Global Credit platform.The role involves supporting a fast-paced, transaction-driven legal and corporate environment with regular interaction with internal stakeholders, external counsel, service providers, portfolio companies and advisors. The successful candidate will play a key role in ensuring the smooth day-to-day functioning of the Global Credit legal team's corporate administration and governance processes, including support for entity lifecycle management and board-related matters.ResponsibilitiesEducation & Certificates· Higher education qualification preferred.Professional Experience· Minimum of two years administrative or secretarial experience· Fluency in English and good level of French essential. Any additional language is an asset.· Strong organizational skills and attention to detail.· Ability to work independently with strong follow-through skills.· Excellent communication skills - both verbal and written.· Flexibility to juggle moderate degree of multiple and changing priorities.· Resourcefulness (especially online) in executing projects.· Collaborative/teamwork attitude and skills a must.· Pro-actively anticipate work assignments whenever possible.· Maintain confidentiality of all sensitive and confidential issues.Competencies & Attributes Excellent Microsoft Office skills (including Outlook, Word, Excel, Mail merge and PowerPointQualifications
  • Leverage productivity software (especially Microsoft Office and Instant Messaging) to maintain calendars, contacts, trackers and tasks.
  • Schedule and coordinate internal and external meetings.
  • Liaise with different offices in Europe and US.
  • Organize and maintain ongoing records (offline and online) regarding project files, , trade periodicals, reports, events and portfolio company records (including archiving), updating internal trackers, filing internal forms, Docify.
  • Create moderate basic / standard documents (Microsoft Word, Excel and PowerPoint).
  • Provide general administrative ah-hoc support to the team as requested (e.g. mail/document merger, registered mail, update shareholders registers, drafting basic and standard legal documents, drafting audit confirmation letters, completing basic requests for the tax Tax and VAT administration authorities).
  • Coordination with regards to the signatures of documents and notarization of documents, printing documents, scanning, saving and filing of documents.
  • Preparation of quarterly board meetings, (e.g. sending meeting requests, preparation of skeleton of board minutes, preparation of e-packs, printing documents).
  • RCS liaison (e.g. excerpt requests, filing re change of board of managers or transfer of shares, filing of the annual accounts) and RBE liaison.
  • Assist in a wide variety of projects as assigned.
  • Other reasonably related duties as assigned.
