Reporting to the Head of Department, this full-time and permanent position is based in Luxembourg and offers regional coverage, allowing you to make a significant impact to our Onboarding Department and its' growth.Key responsibilities:Client Management
  • Coordinates collection of client documentation and requirements to facilitate KYC/AML review and fund establishment
  • Develops a thorough understanding of the client's Fund structure and reporting
  • Builds and fosters strong relationships with clients throughout onboarding phase of engagement.
  • Educates client regarding onboarding process.
  • Effectively communicates expectations and deadlines to clients by acting as liaison between clients and interdepartmental teams such as legal and service activation.
Project Management
  • Plans, directs and coordinates activities in order to ensure project goals are accomplished within defined scope and on time.
  • Creates and executes project work plans and revises as appropriate to meet changing needs and requirements.
  • Identifies and schedules project deliverables, milestones and required tasks.
  • Identifies resources needed and assigns individual tasks.
  • Manages day-to-day operational aspects of a project and scope.
Communication
  • Facilitates interdepartmental team and client meetings effectively including Client Kick-Off Call and Service Delivery Handover Call.
  • Holds status meetings, as appropriate, with Client and interdepartmental project team.
  • Effectively communicates relevant project information to executive team.
  • Resolves and/or escalates Onboarding issues in a timely fashion.
Commercial Support
  • Actively participates in Commercial pipeline calls.
  • Serve as the “voice of Onboarding” in prospect calls.
  • Provide materials such as timelines to Commercial team to support closing new business.
Process Management
  • Ensure workflows are optimized within core systems.
  • Maintain an understanding of what is acceptable in relation to AML/SOF/SOW/CDD and other compliance obligations.
  • Support the development of the team's policies and procedures to reflect changing regulatory requirements.
Operations
  • Assist head of department as needed and serve as a proxy in internal and departmental meetings.
  • Earn the trust and respect of colleagues in and outside of Onboarding to represent the department in strategic initiatives and interdepartmental meetings.
  • Suggests and leads departmental areas for improvement in internal processes.
  • Participates in ad-hoc strategic projects in support of the Fund onboarding team.
Attributes/Technical Skills:
  • Demonstrates strong organizational and communication skills; adaptability and flexibility in a fast-paced environment are essential
  • Strong presentation skills; ability to present and discuss strategies and technical information in a manner that establishes rapport, persuades others and gains understanding
  • High attention to detail required
  • Excellent analytical, conceptual and problem solving skills
Key requirement:
  • 7+ years of private equity fund accounting experience with a fund administrator working in the fund-level accounting and reporting business, including complex fund structures and consolidations.
  • 3+ years working in fund onboarding
  • Bachelor's degree in accounting, economics, finance, business administration, or related discipline
  • Advanced degree preferred
  • Command of MS Office Suite
  • Strong English speaking skills
