- Assisting and supporting the Company Secretarial team with day-to-day administrative tasks including maintenance of our internal databases;
- Drafting cover letters and arranging couriers or liaising with the office facilities teams where necessary;
- Preparing corporate documents such as board packs, proxies, convening notices, simple minutes/resolutions etc.;
- Arrange execution of documents, including contracts, under the supervision of the team;
- Maintenance of various internal lists, logs, trackers and any database;
- Creating and maintaining companies' statutory books;
- Organise and collect documents for notarization or legalisation;
- Pro-actively managing the shared team calendar to include scheduling internal/external meetings, calls and conferences, sending calendar invitations to participants and booking necessary resources;
- Email correspondence with clients under the supervision of the team;
- Assisting the team with the billing/invoicing process, preparation of the on-boarding files for new clients and more generally helping with any internal process;
- Support the team with corporate expenses;
- Taking an active role in the social life of the team;
- Any other ad-hoc tasks or projects that may be necessary.
- You are fluent in both written and spoken English. French and/or German is an asset;
- You have 2 to 5 years of relevant experience or in a similar position - experience in Luxembourg will be considered as an asset;
- You are MS-Windows software literate, knowledge of Outlook is required;
- You demonstrate a pragmatic approach to problems;
- You are organised, flexible and able to manage several skills;
- You demonstrate good communication and reporting skills;
- You are able to work under pressure and keep a positive attitude in all circumstances;
- You demonstrate a reliable personality, focused on integrity and confidentiality;
- You are a good team player (helpful, showing solidarity and share information).
