- Managing and coordinating the day-to-day administration of funds and related vehicles, including board and shareholder meetings, investment transactions, and interactions with external stakeholders (notaries, LBR, occasional liaison with central administrators).
- Attending and supporting board and shareholder meetings.
- Overseeing the approval and filing process for annual accounts and organizing related governance meetings.
- Drafting minutes, circular resolutions, and other corporate documentation for Board and Shareholder meetings.
- Reviewing corporate documents prepared by colleagues to ensure accuracy and compliance.
- Ensuring strong corporate governance standards are maintained and all regulatory requirements are consistently met.
- Reviewing deliverables and overseeing established processes to ensure quality and efficiency.
- Collaborating closely with onshore and offshore teams, maintaining internal KPIs, and supporting the Team Leader in operational matters.
- Building and maintaining strong relationships with Boards, internal departments, intermediaries, and local authorities.
- Minimum 5 years of experience in Corporate Secretarial services for Alternative Investment Funds in Luxembourg, ideally within a domiciliation or fund administration environment.
- Bachelor's or Master's degree in Corporate Law, Economics, Administration, or a related field.
- Strong knowledge of the Luxembourg fund industry and Luxembourg corporate law.
- Highly organized, able to manage multiple priorities and meet deadlines in a fast-paced environment.
- Exceptional attention to detail and a commitment to accuracy.
- Ability to work autonomously while contributing positively to a team-oriented environment.
- Excellent interpersonal skills, with the ability to communicate effectively with clients and colleagues at all levels.
- Strong client-focused mindset and a pragmatic approach to problem-solving.
- Outstanding administrative and organizational skills, with the ability to identify opportunities for process improvement.
- Fluency in German and English is mandatory.
- Proficiency in MS Office (Word, Excel, Outlook, Teams) and the ability to learn new systems quickly.
