- Supporting team members with day-to-day operational and administrative tasks
- Handling incoming mail, including categorisation, scanning, and filing in documents management systems and hard-copy archives
- Maintaining organised electronic and physical records in line with established folder structures, naming conventions, and internal guidelines
- Updating and maintaining legal entity databases based on supporting legal documents
- Assisting in the development and maintenance of processes for the legal entity records and good governance practises
- Participating in the review and update of legal and corporate documentation
- Assisting with the organisation of quarterly board meetings of Luxembourg SPVs
- Taking and drafting minutes or resolutions when needed
- Assisting with AML/KYC requests and coordination with internal teams and service providers
- Collaborating efficiently and effectively with internal teams and third parties, including notaries, banks, transfer agents, tax advisors, auditors, etc.
- Supporting and coordinating the execution of the legal documents in electronic and wet-ink version
- Assisting timely registrations and filings with the Luxembourg Chamber of Commerce and other competent authorities
- Any other related tasks
- Strong academic background: the ideal candidate is pursuing a master’s degree preferably in business law or business administration
- Good Excel skills and competence with other Microsoft Office applications
- Ability to work in a fast-paced environment, with flexibility to adapt
- Strong organizational and execution skills, with ability to prioritise tasks, identify urgent matters, and manage workload effectively
- Attention to details and ownership, taking responsibility for assigned tasks from start to completion and ensuring accurate and timely delivery
- Good interpersonal and communication skills, team player, capability to interface professionally with various internal and external stakeholders
- Clear and strong English verbal and written communication skills required; French, German or Italian is an advantage
- Self-starter and strong team player who is inquisitive and self-motivated
- General interest and familiarity with European financial regulation, investments and financial markets
- Experience in working in an international and multicultural environment / have a global mindset
- Knowledge of the AIFMD is a strong plus
