The is an international research university with a distinctly multilingual and interdisciplinary character.The LCEL focuses on the interdisciplinary field of European law and uses to full capacity its proximity to key EU institutions in Luxembourg. The new Interdisciplinary Centre (IC) will combine academic excellence and strategic research with impact. The IC will reflect in its strategic focus the European political agenda of a dual (digital and green) transition and topics related to European sovereignty.Your roleThe Personal Assistant (PA) will serve as the primary point of contact for the Director. It is crucial that the PA treats all information with the highest level of confidentiality. We expect this individual to operate effectively and efficiently, with the ability to anticipate and prioritize actions. Strong communication skills are essential, as the jobholder will interact with all services throughout the University and external stakeholders. The main responsibilities include the following:
  • Management of Agenda: Coordinating and managing intricate schedules involving multiple stakeholders, ensuring all parties are informed and aligned. Plan, prioritize, schedule and coordinate appointments
  • Administrative Support: Prepare and submit files for internal approvals; prepare reports, presentations, and other documents
  • Travel Arrangements: Planning and booking travels, prepare travel authorizations and declarations of expenses, follow up on reimbursement for the Director
  • Communication: Assist the Director with effective, appropriate and efficient internal and external communication and correspondence. Ensure follow-up of communication and sort out daily all correspondences segregating them by importance, and prioritizing them
  • Academic recruitment: Responsible for organization the recruitments of Professors, this includes organization recruitment committees or panels, establish and follow up on list of actions
Your profile
  • Higher Education degree in secretariat or equivalent professional experience in a comparable role
  • Significant experience in a similar position with demonstrable success
  • High degree of integrity and confidentiality
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail, rigor and accuracy
  • Ability to work independently with minimal supervision
  • Positive and solution-oriented mindset
  • Proficient in Microsoft Outlook, Word, Excel
  • Outstanding communication (including writing) and fluent in both English and French. German would be a plus
