- Perform administrative tasks including correspondence, filing, and meeting arrangements.
- Prepare and document various executive and board meetings.
- Maintain records of contracts and legal documents, manage the digital contract database.
- Oversee document legalization processes and the Legal Department Library.
- Preparing, attending Executive Committee, Board of Directors and taking minutes of the meeting.
- Assist in documentation for opening or closing international entities.
- Coordinate with internal departments and external legal firms for branch-related activities.
- Manage powers of attorney and legal registration processes for branches/subsidiaries.
- Prepare and publish documents for the Luxembourg Registry of Commerce.
- Coordinate IP registrations and prepare related documents.
- Previous experience either in a law firm or the legal department of a company of at least 5 years
- Proven experience as an administrative assistant;
- Ability to work with a high degree of autonomy;
- Excellent attention to detail, time management skills, and ability to prioritize work;
- Ability to successfully communicate with all levels of management, stakeholders, vendors and customers
- Ability to prioritize multiple tasks with competing deadlines
- Highly developed written and oral communication skills, with emphasis on negotiating and drafting commercial agreements and attention to detail
- Fluency in written and spoken English, other languages are considered a plus
- Advanced knowledge of MS Office (Word, Excel, PowerPoint and Outlook)
- A Certificate of good conduct (Casier judiciaire, Polizeiliches Führungszeugnis) will be required in case of positive selection
- Position based in Luxembourg
- Full time position
- Temporary Contract (12 - 14 months)
- Occasional Travel required
