Job DescriptionFidence Group, with its different entities in Luxembourg and abroad, is a growing global service provider of corporate solutions. We provide a broad range of accounting, administrative, corporate secretarial, tax and support services to corporate, institutional, but also high-net-worth clients around the world.
Group Fidence has several business units, each of them under the responsibility of a Business Unit Leader. Under the supervision of the Head of Business Unit, in your role as Senior – Corporate Services, you will perform, without being exhaustive, the following missions:Oversight and improvement of the corporate missions:
- Act as the key point of contact for internal or external clients for corporate (paralegal/administrative) matters with regards to Luxembourg companies
- Extensively liaise with our clients, local notaries, public authorities and banks
- Actively participate in the day-to-day management of these companies, prepare board meetings, shareholder meetings and a variety of other corporate documents
- Ensure that all corporate records are accurate and regularly updated (including the UBO register, organizational chart, shareholders’ register)
- Follow up on legal proceedings relating to the investment, holding structures and assets of client portfolios
- Organize incorporations, mergers and liquidations
- Ensure timely convening of annual general meetings for the approval of annual accounts in accordance with legal requirements and that the accounts are duly filed and published within the statutory deadlines
- Ensure that the invoice reminders are sent by the teams and follow up directly with clients by phone when necessary
- Efficient management of high-priority and time-sensitive issues.Skills needed:
- a minimum of 5 years of working experience (mandatory) in a similar position preferably in Luxembourg in a fiduciary environment or trust environment
- Good understanding of Luxembourg corporate/fiduciary regulations
- Strong organisational and prioritisation abilities
- Interest in process management and continuous improvement
- Italian and English both fluent mandatory (written and spoken). French or any other language is a plus
- Excellent team player with excellent communication skills
- Proactive, enthusiastic and solution-oriented, eager to learn and evolve in a dynamic environment
