
Senior Transfer Agency Officer - Shareholder Services

- Oversee and execute daily team activities related to transaction processing, monitoring, and adherence to departmental procedures
- Review and accurately record investor transactions including Drawdowns, Distributions, Subscriptions, Redemptions, and Transfers in the TA system, ensuring compliance with internal procedures and timely escalation of any discrepancies. Additionally, prepare and issue investor notices related to these transactions in a timely and accurate manner, ensuring clarity and consistency with fund documentation and operational standards
- Manage payment processing, cash flow monitoring, reconciliation of operations, and maintenance of the share register
- Lead client and investor onboarding processes, ensuring a seamless experience and delivering high-quality service for ongoing and ad hoc requests
- Collaborate effectively with internal departments (e.g., Fund Accounting, Legal, AML/KYC) and external stakeholders (e.g., fund managers, auditors, banks, depositaries)
- Respond to client/investor queries and instructions professionally and promptly, fostering strong relationships and enhancing the TMF experience
- Ensure strict adherence to policies, procedures, and checklists in line with regulatory and internal standards
- Prepare, review, and ensure timely delivery of monthly/quarterly investor and regulatory reports, including responses to audit and due diligence requests
- Take ownership or actively contribute to operational and regulatory projects, driving process improvements and ensuring compliance
- Monitor deadlines and ensure fund rules and representations are understood and applied correctly
- Review and interpret fund legal and corporate documentation to support accurate transaction processing and reporting
- Represent the team in board meetings, due diligence sessions, and internal/external audits as required
- University degree and/or 3-4 years of relevant experience within Fund Services, specifically in the Alternative Investment Funds industry.
- Knowledge of Luxembourg fund structures and legal entity types.
- Strong team player with a proactive attitude, capable of working independently and taking ownership of responsibilities.
- Excellent attention to detail and strong communication skills, both written and verbal.
- Well-organised with the ability to prioritise tasks effectively and manage multiple deadlines.
- Flexible and resilient under pressure, with a solution-oriented mindset.
- Fluency in English is required; proficiency in another European language is considered an asset.
- Advanced proficiency in Microsoft Office tools, particularly Excel and Word.
- Experience with Investment Cafe and Investran (Accounting, CRM, Reporting Services, and Reporting Wizard) is a strong advantage.
