- Manage and optimize the executive’s complex calendar, ensuring efficient prioritization of meetings and commitments.
- Coordinate internal and external meetings, calls, and appointments across multiple time zones.
- Act as a gatekeeper for the executive’s time, prioritizing requests and ensuring adequate preparation time for key engagements.
- Draft, proofread, and format professional correspondence, reports, and presentations.
- Manage incoming communications and ensure timely responses where appropriate.
- Serve as a key liaison between the executive and internal teams, partners, investors, and external stakeholders.
- Coordinate complex international travel including flights, accommodation, transportation, visas, and itineraries.
- Prepare detailed travel schedules and briefing materials for meetings and events.
- Manage last-minute changes and travel contingencies efficiently.
- Attend conferences, events, or business trips when required to ensure smooth execution of logistics.
- Prepare agendas, presentations, and briefing materials for meetings.
- Record key decisions and action items during meetings.
- Track deliverables and follow up with relevant stakeholders to ensure progress.
- Maintain organized digital and physical documentation.
- Support preparation and submission of institutional documentation and administrative paperwork.
- Assist with selected personal logistics related to the executive’s schedule and travel coordination.
- Coordinate participation in international conferences, industry events, and speaking engagements.
- Ensure presentations, materials, and logistical arrangements are prepared in advance.
- Support the executive during events to ensure schedules and engagements run smoothly.
- Assist with research, reports, and preparation of briefing documents.
- Support special projects and initiatives led by the executive.
- Format and prepare presentations using PowerPoint and Canva.
- Build and maintain professional relationships with internal teams, partners, and external stakeholders.
- Ensure a professional and welcoming experience for visitors, partners, and investors meeting with the executive.
- Bachelor’s degree or equivalent experience.
- 3+ years of experience supporting senior executives in a similar role.
- Exceptional organizational and time management skills.
- Strong written and verbal communication skills.
- Ability to anticipate needs and act proactively in a fast-paced environment.
- High level of discretion and professionalism when handling confidential information.
- Strong problem-solving abilities and attention to detail.
- Experience managing complex international travel arrangements.
- Proficiency with Microsoft Office and/or Google Workspace.
- Familiarity with calendar and travel management tools (Outlook, Google Calendar, Concur, etc.).
- Ability to multitask and prioritize under pressure.
- Flexibility to occasionally travel and support events outside standard office hours.
- Fluency in English and French and/or German and/or Luxembourgish.
- European citizenship or valid work authorization for Luxembourg.
- Valid driving license (required).
